Many small businesses pay for a heavy CRM and use five percent of it. A custom one with only your stages and your fields is lighter, faster to learn and matches how your team really sells.
This guide shows how to describe, build and check a simple CRM and sales dashboard with Uttra, and where to stop so it stays simple.
A useful small-team CRM needs four things: a contacts list, a deals pipeline with stages, simple follow-up reminders and a few headline numbers. Describe those in chat, test them with real data and publish privately for your team.
Start from your sales process
Write down the path a customer takes, in your own words. Those become pipeline stages. Then list what you need to remember about each contact.
- Stages, for example: New lead, Contacted, Proposal sent, Negotiation, Won, Lost.
- Contact fields: name, company, phone, email, source, owner (which salesperson).
- Deal fields: value, stage, expected close date, notes.
The prompt that builds it
Ask for the three views together so they share the same data: a dashboard, a pipeline board and a contacts table. Paste something like:
- "Build a simple CRM for a 5-person sales team. Login page. Dashboard with total pipeline value, deals won this month, conversion rate and a chart of deals per stage. A Kanban board where I drag deals between stages. A contacts table with search, filters by owner and source, and a contact page showing notes and activity history. A follow-up list showing today's and overdue tasks. Add sample data. Clean, professional design."
Check it with real scenarios
In the preview, run a day of work: add a contact, create a deal, drag it through stages, add a note and mark a follow-up done. The dashboard numbers should change when you do.
Look for dead ends: can you edit a deal after creating it, delete a mistake, and find a contact by phone number? Ask for fixes in chat one by one.
- Totals on the dashboard match the numbers you can count on the board.
- Each salesperson sees the right filters and a clear owner label.
- Tables stay readable on a laptop and a phone.
Publish, protect and grow
Publish and share the link with your team only, and keep the login in place because this contains customer data. If you store personal data of customers, check the privacy rules that apply to you.
Good next additions: CSV import and export, an email or WhatsApp click-to-chat link on each contact, monthly reports per salesperson. Sync the code to GitHub for backup.
