Many Gulf online sellers start without thinking about invoices, then a customer asks for a tax invoice or the first big order arrives. A little setup early on keeps you out of trouble.
This is a general guide, not tax advice. Rates, thresholds and deadlines change, so check with the tax authority or an accountant before you rely on any number.
If your sales pass your country's VAT threshold, register, charge VAT, and issue proper tax invoices. In Saudi Arabia that also means ZATCA e-invoicing. Confirm the current rules with an accountant, since they change.
Know your country's basics
Saudi Arabia and the UAE both charge VAT on most goods and services, at 15 percent in Saudi Arabia and 5 percent in the UAE. Businesses must register once their taxable sales pass a mandatory threshold, and can often register voluntarily below it.
Registration is done with the tax authority: ZATCA in Saudi Arabia, the Federal Tax Authority in the UAE. You then receive a tax registration number that must appear on your invoices.
What a tax invoice usually shows
Exact fields depend on the country, but expect to include:
- Your business name, address and tax registration number.
- An invoice number that follows a clear sequence and a date.
- The customer's details where the rules require them.
- Each item, quantity, price before VAT, VAT amount and total.
- A clear label such as "Tax Invoice".
E-invoicing in Saudi Arabia
ZATCA requires electronic invoices through its Fatoora system, rolled out in phases to businesses by size. Invoices must be generated in an approved format, carry a QR code, and for some phases be sent to ZATCA. Ask your accounting software provider whether it is compliant rather than building this yourself.
The smart route is a store whose orders flow into a compliant accounting tool, so invoices are produced automatically per sale.
What to show on your site
Show prices clearly as including or excluding VAT, add your tax number in the footer, and publish refund and delivery terms. In Uttra you can say: "Show prices with 15% VAT included, add my tax number and company details to the footer, and send customers an order confirmation with an itemised receipt."
Keep records of invoices for the period your authority requires, and store them somewhere safe and exportable.
