Small stores often run on memory and a notebook until the day a customer pays for an item that is already gone. Then comes the apology, the refund and the lost trust.
You do not need expensive software. You need a few habits and one reliable place where the numbers live.
Give every product one code, count what you hold on a fixed schedule, set a reorder level for each item and reduce stock automatically with every order. That alone prevents most overselling and dead stock.
Give every item a code and one home
Assign a short, unique code (SKU) to each product and each variant, such as size or colour. The same code appears on the shelf, in your sheet and on the website.
Keep one source of truth. If stock lives in three places, it will be wrong in all three.
Count on a schedule
Do a full count monthly and a quick count of your fastest sellers weekly. Differences are normal; the goal is to find them early.
- Record what the system says and what you actually counted.
- Note the reason for gaps: damage, theft, wrong picking, returns not restocked.
- Fix the number and the cause, not just the number.
Set reorder levels
For each item, decide a minimum quantity at which you reorder. A simple formula: daily sales times supplier lead time, plus a safety buffer. If you sell about 3 a day and the supplier needs 10 days, reorder when about 30 plus a buffer remain.
Review the formula each season, since demand shifts around events like Ramadan, national days and sales.
Prevent selling what you do not have
Your store should lower the quantity at each order and show Sold out at zero. A few more safeguards help:
- Keep a small hidden buffer on fast-moving items sold in several places.
- Return items to stock only after you inspect them.
- Mark slow items and sell them in bundles before they become dead stock.
Do it with Uttra
Ask in chat: "Add a stock quantity to every product, reduce it when an order is placed, show Sold out at zero, and give me a simple admin page listing items below 5 units." Check it in the preview, refine it by chat, and keep a copy of the code through GitHub sync or download.
